Bohemia Translations s.r.o., tax ID: 02464322, registered office: Holandská 878/2, 639 00 Brno, Czech Republic, company registered in the Commercial Register maintained by the Regional Court in Brno, Section C, File 81438 (hereinafter referred to as “Bohemia Translations”) carries out processing of your personal data in order to meet legal and contractual obligations and due to operational needs related to its performance of business activities in the field of linguistic services.

The purpose of this Privacy Statement is to inform you as a visitor to this website, customer, vendor, or cooperating entity of Bohemia Translations of how and for what purpose we process the data that we have obtained from you through electronic, telephone, written and personal communication. Hereafter, we provide information about our procedures for the protection of personal data and about the options you have in relation to the processing of your data.

We undertake to protect and process all personal data in a purposeful and responsible way, in accordance with the generally binding legislation, in particular Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) (hereinafter referred to as “GDPR”).

 

What is meant by personal data

Personal data is any information that relates to an identified or identifiable natural person. Personal data include, among others, first and last name, gender, age, date of birth, personal status, but also e.g. IP address, e-mail address, phone contact, etc.

 

Who is the data subject

The subject of personal data is any natural person to which the personal data concerned relate.

 

Who is the data controller

According to the GDPR, the personal data controller means any entity, regardless its legal form, which determines the purpose and means of the processing of personal data and performs the collection, processing and storage of the data for that purpose.

 

As a data controller, Bohemia Translations puts great emphasis on the protection of personal data, whether in terms of their confidentiality, integrity or availability. For this purpose, we have created the internal documentation that contains the organizational, personal, technical and legislative requirements necessary for the protection of personal data. An integral part of the document is a clear definition of handling the personal data in printed and electronic form in a safe manner. We process personal data only to the extent necessary to carry out our business activities, to fulfil our legal and contractual obligations with respect to ensuring the best and highest quality services provided to our customers, effective and smooth cooperation with our subcontractors and other entities.

We do not share or disclose the personal data to any unauthorized persons or third parties. Provided that it is necessary to transmit some data to another entity to resolve a particular request or business case, we will always ask for your prior consent. In justified cases it may happen that we will need to provide your data to comply with a legal requirement or to exercise justice, if the public authorities ask us to do so.

 

Categories of data that we process

The data you have provided us with, among other ways, through the enquiry form on this website, signed agreement on cooperation, completed questionnaire, CV, copies of your certificates and testimonials, personal, e-mail, telephone or other communication with us, or that we have acquired from freely available internet resources, are the following:

  • Name and surname, or company name
  • Address of place of business, or home address
  • Business ID, EU VAT ID, tax ID
  • Contact details: e-mail address, phone number, Skype account name, etc.
  • Payment details: bank account number, IBAN, currency, account name, bank address, etc.
  • Personal information provided in the CV, or by e-mail or telephone
  • Education attained and academic degrees
  • Certificates obtained and language and other examinations completed
  • Job title, professional competence, expertise, fields of translation activities and information on completed projects
  • Types of services provided (translation, proofreading, etc.), including language combinations and agreed price conditions for the given service and combination
  • Estimated daily capacity in terms of translated words
  • Information about full-time or part-time work in relation to linguistic services, daily availability and current free capacities
  • Software and translation tools and applications used
  • Evaluation of the quality of translations and other completed work

 

Purpose of processing your data
  • Keeping the originals of the information obtained in one place: we store the collected data (e.g. contracts, terms of cooperation, questionnaires, CVs, e-mails, etc.) in a dedicated folder of a given individual or legal entity to ensure the integrity and easy access to the data.
  • Assigning and processing of the jobs: we register the above data in the database so that we can ask our subcontractors for their linguistic services on the basis of criteria that need to be met for a specific task (e.g. a combination of professional competence, knowledge of required software, financial conditions, actual free capacity).

We store some of your data directly within the data of particular job. Typically, this applies to the name and surname, company name, type, scope and price of the service. Such information is needed during the processing of the job itself and also serves, for example, to verify or determine the job price when the services are invoiced.

  • Compliance with legal obligations: keeping and archiving of tax documents for the company's accounting, execution of payments and other business transactions, creating tax returns, etc.

 

Security of data

We do not use the services of personal data processors and we process the data about you ourselves as a data controller. Access to the data is only allowed to our employees; other persons can access the data only when it is necessary to comply with legal requirements. We have technical and organizational security measures in place to protect your personal data as much as possible against unauthorized access to them, to prevent their loss, misuse or disclosure. We continuously adapt the protection of data to the latest technology.

 

Data retention period

We only store your data for the necessary amount of time and to the minimum extent required. In practice, it is usually the time period when our active cooperation lasts, or the period during which there is a real possibility of establishing our future cooperation. The data contained in the accounting records and the tax documents are kept for the period of time stipulated by the applicable legislation.

 

Rights of the data subject

The data subject, subject to compliance with the requirements laid down in generally binding legislation, shall have, among other things, the following rights:

  • Right of access by the data subject – you have the right to request from us information about your personal data stored by us, and you may do so at any time.
  • Right to withdraw consent – if you gave us your permission to use your personal data, you may revoke it at any time in whole or in part, without giving any reason.
  • Right to rectification – if your data stored with us is not accurate or correct, you can contact us at any time and have us repair it.
  • Right to erasure and restriction of processing – you have the right to ask us to erase or restrict the processing of your personal data processed by our company. If the deletion contravenes the legal, contractual, tax law, business law obligations for the retention or other legitimate reasons, we may only limit the processing of your personal data instead of erasing it, about which we would inform you in such a case.
  • Right to submit a complaint to the supervisory authority – if you suspect that your personal data is being processed in violation of the applicable law, you have the right to lodge a complaint with a competent supervisory data protection authority (“DPA”).

In the event that the data subject exercises the rights under personal data protection legislation against Bohemia Translations and the identity of the data subject cannot be verified from their request, or if Bohemia Translations has reasonable doubts as to the identity of the person making the request, Bohemia Translations reserves the right to ask the applicant to provide additional information to confirm the identity.
